You’ve just come back from a conference, networking event, trade fair, or workshop — and now it’s time to write an event follow-up email in English to the people you met. After the first day of a busy event, it’s often hard to remember who you spoke to and what you discussed. Take a few quick notes after each conversation: their name, their challenges, and any next steps. I’ve found that having a clear, structured process makes this so much easier. Before the event, decide exactly what information you need to capture about each prospect and their requirements.
Create a simple template — either in your CRM tool or just on paper — so you don’t forget valuable details in the chaos of a busy event. You can even classify each lead as hot, warm, or cold, so you can prioritise which ones to contact first.
Timing – How to capitalise on your event investment
A few years ago, Salesforce found that around 80% of exhibitors don’t follow up on their leads. That’s wild, right?
Don’t leave it too late to send your follow-up email. Yes, your inbox is overflowing – but your competitors are in the same situation. You’ve probably invested time, money, and energy in attending the event. Don’t waste that investment by waiting too long to contact the valuable prospects you met there.
Personalise your follow-up and provide real value

In your event follow-up email in English, mention what you talked about to help them remember you — and show clearly how your product or service helps solve the pain points you discussed. Give your prospect a real reason to reply. Invite them to test your software, share a helpful white paper, or send a resource connected to the challenge you discussed. Don’t forget a call to action

Has anyone ever made a sale from a follow-up like that? Probably not. Think back to the next step that you discussed at the event, and follow up on that. Propose a meeting, suggest a phone call, or invite them to a webinar – whatever makes sense to this potential customer.
Keep in touch
People often use trade fairs to research options for a new software, product, or service. They might be right at the beginning of their search, and not ready to make a decision. An email nurturing series can help provide ’nuggets‘ of information over a period of weeks or even months.
Ideally, draft this email nurturing series before the event, ready to be sent out to all the people you met there.That takes the stress out of the follow up – don’t forget, you’ve got to attend all those meetings you are proposing.

This template is for cooler leads – people who showed some interest but weren’t ready to commit. Or maybe they told you directly that they don’t plan to make a purchase anytime soon.
