Out of Office

If your company doesn’t have a standard out-of-office email in English, then you may have to write your own. I know how hard it is to write these seemingly simple little texts in a foreign language. It’s only a couple of sentences, but you want to make sure you use correct grammar and don’t make a spelling mistake. Here are a few options that you can just copy and paste – don’t forget to add the right dates!

Remember that Brits and Americans use different date format – in the UK, we use the same format as in Germany DD/MM/YYYY. In the USA, they switch day and month around to make MM/DD/YYYY. If you want to be certain that you don’t get dates muddled, write out the month as a word, e.g. 4th March 2020.

This is a pretty basic out of office email. You don’t have to mention why you are not available – your contacts don’t need to know if you are on holiday or off sick. This is a good one to have as your standard response. 

Thank you for your email. I’m currently out of office from [date] until [date] and won’t have access to my emails.

During my absence, my colleague [name] will be happy to help with your enquiry. You can reach her/him via email [email] or phone [number].

I’ll get back to you as soon as I can when I return.

Mustervorlage Out of Office Englisch #2

You can use this one when you are travelling for work. You don’t mind being called on your phone but you might not be reachable all of the time. 

Thank you for your email. I’m currently out of office from [date] until [date] with limited access to my emails.

If you need to reach me quickly, send me a quick text or give me a call: [phone number].

I’ll get back to you as soon as I can when I return.

You are going to a trade fair or other industry event and will not be able to answer your emails as quickly as you normally would. And you’d like to ensure that your contacts know that you are at the fair, and are happy to connect if they are attending. 

Thank you for your email. I’m currently at the [event] in [city]  from [date] until [date] with limited access to my emails.

If you are at the [event], do give me a call on [phone] or ping me on LinkedIn [link to LinkedIn profile]. It would be great to meet you in person.

For other enquiries, please contact my colleague [name] via email [address] or phone. She/He will be happy to help.

I’ll get back to you as soon as possible when I return.
